A hotel general manager in a navy suit reads a few printed pages in a lounge armchair, a coffee on the marble table beside her and a lit reef aquarium set into the walnut wall behind.

Stewardship Report · aquarium and living wall service reports

Everything behind the glass, in a report your client can read.

A Stewardship Report is written from the record your team already keeps: every service visit, every reading against the range you set, the fish, corals and invertebrates, the planting, each incident and how it closed. It goes to your client in your company’s name, when you choose.

Stewardship Report

The Corvane · weeks 1–4
In draft
  • 9 service visits on four systems
  • 54 readings against the range you set
  • 1 incident, closed

The report

Four weeks of care, set like an editorial.

At the end of each period the report is drawn from the record, so nobody retypes anything: a cover, the systems, the readings drawn against the range you set, notes on the fish, corals and invertebrates and on the planting, the incident and how it closed, and the next visits. Your principal aquarist reads it, edits the summary and signs it off.

  • One report for every system on the property: aquariums, living walls and the pond
  • Readings drawn against the range you set, never an “ideal” one
  • A summary written up for you to edit before it leaves
Close view through the front glass of a saltwater display: teal, gold, violet and pink corals, a blue tang, three clownfish and a cleaner shrimp on the rockwork, light rippling from above.

23 fish observed at every visit. One branching coral paler at its tips in week 2: photographed, re-checked, colour returning by week 4. Closed.

Planting · LW-01

Zone Z3’s top rows ran dry in week 2: the drip line flushed and the filter cleaned on the visit, moisture even at the next check. Closed.

IncidentLR-01 · the return pump

Stopped overnight on a Wednesday. The night manager called at 06:05, a spare pump was running by 07:55 and the incident closed on Thursday after the follow-up check.

Next visits

  • LR-01 · Tuesday 06:30
  • LW-01 · Wednesday 09:15
  • FW-02 · Thursday 10:00

Summary

A steady four weeks. Alkalinity on the lobby display dipped below your range in week 2 and was back inside a week later after a dosing change; the return pump stopped one night and a spare was fitted before guests came down.

How it reaches your client

It goes out when you send it.

A Stewardship Report leaves when your client asks, when you decide, or on a timetable you set — with your company’s name on it, attached to an email as a PDF or shared as a link your client opens. Nothing sends it on its own.

  • Your company’s name and address on the email, never anyone else’s
  • A PDF to keep, and a link that opens the same report on a phone
  • A schedule only if you set one, every four weeks for The Corvane

Does it go to my client automatically?

Only if you set a schedule for it. Otherwise it goes when you press Send or when your client asks for it, always in your company’s name and never from anyone but you.

The Stewardship Plan

What the plan covers, and how the visits add up.

The Stewardship Plan is the maintenance contract behind the report: each system, the visits it gets and what each visit covers. Every visit logged against the plan rolls into the next report as the period runs, so there is nothing to gather at the end.

Built to

Show your client the care, not a spreadsheet.

  • One report per property

Every system at the venue in one document: the displays, the living wall and the pond, each with its own page.

  • Readings against your range

Each line drawn against the range you set for that display or wall, with what was done when one fell outside it.

  • Fish, corals and plants

What your team observed on the fish, corals and invertebrates and on each planting zone, with the photos taken.

  • Incidents to closure

Each incident as it happened: who reported it, what your team did and when it closed.

  • The next visits

What comes next on the plan, so your client knows when your team will be back.

  • Your company’s name

Your name, your address and your sign-off on every page and every email.

Frescalo keeps the record of what your team checked, measured, changed and reported at each visit, against the ranges you set. Living systems carry inherent biological risk; Frescalo documents care - it does not guarantee outcomes.

Questions

About the report

What does an aquarium service report for a client show?

The visits made, the readings taken against the range you set, what your team saw on the fish, corals and invertebrates or the planting, any incident and how it closed, the photos and the next visits. Frescalo builds it from the record of each visit.

Does it cover living walls too?

Yes. A living wall has its own page in the same report: the irrigation and reservoir checks, EC and pH, and each zone’s planting, beside the aquariums on the property.

Can my client read it on a phone?

Yes. You can send it as an emailed PDF or as a web link, and the link opens the same report on a phone.
